MICROSOFT ONENOTE FEATURE REQUEST FOR “MASTER UNLOCK PASSWORD”

INTRO

Currently the password protect section feature on Onenote is a great first step. But to really evolve and make the product better. You should follow with the evolution of what your customers are doing with this. I have been using the same notebook for over 2 years, growing it and segregating it into sections that only certain levels of people can see (More on this in the example). I believe as programs age they should evolve with what the customers see fit (as they use the apps the most), also the apps greatest features should become less complex and more granular (its a hard aspect to achieve but its possible). It would be great to include the following enhancements:
THE FEATURE REQUESTS (3 OF THEM)

FEATURE REQUEST NUMBER 1 (MASTER UNLOCK PASSWORD)

“master unlock password” to unlock all sections. only the keeper of the notebook needs to know it.
without “master unlock password” the sections without passwords are still visible to all users.
without “master unlock password” the password protected sections still act the same.
Example:
I have over 30 sections. 15 sections are visible to all users. 5 sections only visible to a person with PASSWORD-KOSTIA, 3 sections visible to PASSWORD-LEVEL2, and 7 sections visible to people that know PASSWORD-LEVEL7. So I have 3 passwords PASSWORD-KOSTIA (I only know this one – it contains personal notes), PASSWORD-LEVEL2 (I give this one to the level 2 engineers), and PASSWORD-LEVEL3 (I give this one to the level 3 engineering – this contains material that level 2 engineers shouldnt see). Also the people that know PASSWORD-LEVEL3, I let them in on the PASSWORD-LEVEL2.
PRO: This will enchance the search (since we can only search thru unlocked and none password protected sections)
FEATURE REQUEST NUMBER 2 (UNLOCK ALL SECTIONS/GROUP WITH SAME PASSWORDS)

Ability to unlock all sections with same password. Most people segregate their passwords like I do (SEE EXAMPLE ABOVE). So going with my above example.So currently a person, with a PASSWORD-LEVEL2, logging in to view my notebook can unlock one section at a time with his password, however he has 3 sections he can unlock. Its really annoying after getting used to the flow of the program that we can only unlock one section at a time. There should be a feature to unlock all sections at once.
Note: if you take into feature request number 4, then this should also unlock every section group with the same password.
PRO: This will enchance the search (since we can only search thru unlocked and none password protected sections)
FEATURE REQUEST NUMBER 3 (MASTER PASSWORD)

have the option to password protect the whole notebook @ once. different then “master unlock password”. When a person creates the notebook, or already has it. He can have a master password that locks every section (the whole notebook). Once unlocked he can see every section thats not protected by section password (So yes still include section password and master unlock password, from feature request # 1)
EXAMPLE:
This would be great because for example my view link currently is visible to everyone, but i only want my coworkers access to it. What if a coworker leaves, I dont want them to have access so I can change the master password (notify everyone besides the coworker that left) and i still want to retain the same granular permissions that I have had with section passwords (and if you include my feature requests: master unlock password and section group passwords). So when a person click a view link, they will be prompted for master password to see the whole notebook, after they enter the MASTERPASSWORD they will then see the whole notebook. They will still need to know their section passwords and section group passwords. I want to retain SECTION and SECTION GROUP PASSWORDS (if you choose to go thru with feature request number 4)
FEATURE REQUEST NUMBER 4 (SECTION GROUP PASSWORDS)

Allow section passwords to be applied unto section groups. When doing that, every nested section under that password is protected (security wise and encrypted). Havbe the ability to unlock whole section groups at a time (adds a granularity aspect)
If a section is moved from a section group with SECTION-GROUP-PASSWORD 1 to a section without a password then the section will not have a password anymore. Likewise if it moves to a section with SECTION-GROUP-PASSWORD 2 then it will attain the new password.
PRO: This will enchance the search (since we can only search thru unlocked and none password protected sections)

If you go through with all this, please include great documentation for everything. Explaining every type of password.
SUMMARY OF PASSWORD

CURRENTLY BEFORE FEATURE REQUESTS:
1. Username login (Microsoft account) – I dont use this, I just allow all users with my view link to view it (I dont have enough time to ask all of the employees to make microsoft accounts and manually add their passwords in, its easier to use the view link)
2. Section Passwords (only apply to sections – not section groups) – can lock and unlock sections at a time
AFTER FEATURE REQUESTS:
1. Username login (Microsoft account) – again I just use the view link
2. Master Password (Feature request number 3) – This will just put another layer of security.
3. Master Unlock Password (Feature request number 1) – This will just unlock every Section password and Section Group Password to enhance Searching (and other features that would benefit from all unlocked sections)
4. Section Passwords – will work the same way as they already do
5. Section Group Passwords (Feature request number 4) – will apply like section password but to every section nested below it. Moving sections between groups will change the password accordingly (or remove the password if moved to a group without a password)

  1. I think this is an excellent request. I have been struggling with the fact that searches don’t include locked sections. So if you want to inlcude those sections, you have to unlock them 1 by 1 manually.
    Have you had any response from Microsoft?

    1. Unfortunatly I’ve been too busy to call Microsoft to request this. I was hopeing they come across it. Or a fine individual such as yourself would give them a call a point em at this site for the feature request. It would get done especially for the big users of OneNote, such as myself and yourself from the sounds of it.

      1. I am not a big user but a home user, so they will not have any time for me.
        Since this has been on your site I would have thought you would have requested it by now. Do you expect to get round to it or will it remain wishful thinking?
